CNC Material Certificates: Verify the Heat-to-Part Evidence Chain

CNC material certificates are useful only when the delivered parts remain linked to the material they describe. Before ordering, agree on the alloy and condition, required inspection document, heat or lot identification, and records that connect stock receipt to the finished shipment. A certificate for the right grade does not establish that an unmarked mixed batch came from that stock.

This guide helps sourcing and quality teams review that evidence chain for custom machined metal parts. It separates the raw-material record from dimensional inspection and later processing records. Use it when preparing a CNC machining enquiry, particularly when stock will be cut into several jobs or sent outside for finishing.

Start with the purchase requirement

Write the complete material designation and required supply condition in the order. Include the applicable specification and revision where the contract requires one. A familiar alloy nickname may leave the product form, temper, heat treatment, or permitted substitution unclear. Resolve disagreements between the model, drawing and purchase order before material is purchased; the CAD and drawing conflict review provides a separate way to control those inconsistencies.

Ask for the document requirement at quotation stage. “Material cert included” can mean different things to different suppliers. Identify the original manufacturer document, the distributor’s linkage if applicable, and any additional inspection or witness requirement. Do not assume these can be reconstructed after the last remnant has been consumed.

For a low-risk fit prototype, the evidence package may be simpler than for a production component with contractual traceability requirements. Make that choice deliberately with the responsible engineering and quality teams. A prototype purchase should not quietly become the evidence basis for a later production release.

Separate three kinds of evidence

Record Question it answers What still needs separate evidence
Material inspection document What material and inspection results does the issuer declare for the identified delivery or test unit? Whether this particular machined batch came from that material
Internal lot and process record How did identified stock become the shipped parts? Whether the original material met the ordered specification
Finished-part inspection report Did the measured features meet the agreed acceptance criteria? Material origin and properties that dimensional measurements cannot establish

A management-system certificate is another distinct document. For example, ISO 9001 addresses quality management systems. A management-system certificate should not be mistaken for the specific inspection document linking a delivered stock lot to its test results.

Understand what the requested certificate type means

Where EN 10204 documents are specified, distinguish type 3.1 from type 3.2 instead of treating the numbers as interchangeable labels. SSAB’s inspection-document explanation describes 3.1 validation by the manufacturer’s authorized inspection representative independent of production. It describes 3.2 as also involving a purchaser-authorized representative or an inspector designated under applicable regulations.

LRQA’s type 3.2 factsheet explains the independent inspection and witnessing involvement in its certification service. If that level is required, establish responsibilities and timing before production. A machining supplier’s additional stamp should not be treated as an automatic upgrade of the original document.

The required document depends on the order and applicable product requirements. This article does not prescribe 3.2 for every CNC part. Ask the responsible purchaser or inspector to settle ambiguous requirements before accepting a substitute certificate, especially where an external approval is part of the project.

Review the document against the stock received

Use a comparison sheet rather than checking only the large grade name. Record the issuing manufacturer, certificate identifier, heat or batch identifier, product form, dimensions, ordered condition, delivery reference, and relevant test results. Where a distributor cuts a parent bar or plate, request the record connecting that cut piece to the manufacturer’s document.

Read numerical results with their units and test basis. A result that belongs to a different product form, heat treatment condition, or test unit needs explanation. Do not silently copy a specification limit into the “actual result” column. If the document is incomplete or difficult to interpret, ask the issuer or supplier for clarification and keep the original version.

For document authenticity concerns, use a known contact channel or the issuer’s established verification route. Preserve the supplied document and the clarification trail. Reformatting the document into a prettier internal template should not erase who issued it, when it was issued, or how it relates to the material received.

Protect identity when stock is divided

The critical handoff is often the saw, not the shipping desk. Before a parent bar is cut, establish how each blank, tray and reusable remnant retains its identity. The method can be a job traveler, controlled container, approved marking, or another suitable system. Color alone should not carry the entire identification record.

Keep separate material lots distinguishable through work in progress. If one production order uses two heats, the order number by itself is no longer enough to identify material origin. Record which finished quantity belongs to each heat, and preserve that relationship after washing, deburring and inspection.

Small parts may not have space for permanent marks. In that case, agree on the controlled-container or packaging method and when individual identity is required. Marking location, depth and method need engineering approval where they can affect a functional or cosmetic surface. General part identification is discussed separately in the serialized marking guide.

Carry the chain through outside processing

Send an outside processor a clear part number, revision, quantity, lot reference and process requirement. On return, reconcile the quantity and identification against the dispatch record before combining parts with other work. A finish certificate that references only a broad customer order may not distinguish multiple material lots within it.

Keep raw-material certificates and later process reports together without implying that one replaces the other. Heat treatment can change the condition that matters to the finished part; coating can obscure earlier marks. Define the point at which identification is checked again, and keep any authorized substitutions or deviations attached to the affected lot.

Use material testing for the question it can answer

Positive material identification can support alloy verification, but select a technique that measures the distinguishing elements. Thermo Fisher’s comparison of XRF, LIBS and OES explains that XRF does not measure carbon and therefore cannot by itself distinguish low- and high-carbon variants such as 316L and 316H. The method and sample preparation matter.

A chemistry result is not a replacement for every property or provenance requirement. Agree whether the concern is an alloy mix-up, supply condition, a missing original certificate, or an interrupted identity chain. A successful chemistry check does not recreate a lost history. Select any additional testing and disposition with the responsible quality authority.

A practical mixed-lot example

Imagine an order for 80 identical spacers made from two accepted stock lots. This is an illustrative example, not a FUMING customer case. The shop records 50 finished parts from lot A and 30 from lot B. If both groups are combined in an unmarked bag, two valid certificates no longer reveal which spacer belongs to which lot.

A better release package keeps the groups separated, identifies each package, and maps its quantity to the corresponding certificate and process records. If identification has already been lost, quarantine the affected group and obtain an agreed disposition. Do not assign a convenient heat number after the event merely to make the paperwork complete.

Questions to settle before shipment

  • Does the ordered alloy, condition and specification match the supplied evidence?
  • Can each shipped lot be followed back through cutting and outside processing?
  • Are quantities, split lots and reusable remnants reconciled?
  • Are original certificates, subsequent reports and approved deviations available together?
  • Can the receiving team interpret package labels without asking the supplier to reconstruct the job?

Use these questions alongside dimensional acceptance, not instead of it. The near-limit measurement acceptance guide addresses a different release question. Frequently asked questions

Is a certificate of conformity the same as a mill inspection certificate?

Do not assume so. Check the issuer, declared scope, referenced material and actual test information. Request the specific document required by the order and its link to the delivered lot.

Must every component carry a heat number?

The appropriate identification level depends on the contract and product requirements. Where individual marking is unsuitable, an agreed controlled-container system may be appropriate; it must preserve the required relationship through handling.

Can a material test resolve a missing certificate?

It may answer a defined technical question, but it does not automatically replace contractual documentation or restore provenance. Agree the test scope and disposition before treating the material as accepted.
